Client forms & e-signing

Collect information and documents from a client with a secure link, then route the finished documents for signature — track who has signed, chase the stragglers, and keep the whole trail in the task.

Email delivery is optional. Where your firm has not connected outbound email, CorpSec AI never pretends a message was sent — it hands you the link to share by email, SMS or WhatsApp yourself. Every panel below says plainly which case you are in.

Client forms — collect details and documents

A client form is a secure, login-free web page you send to a client so they can fill in the details you need (and upload documents such as an ID or a signed consent) straight into the task. You never re-key their answers — they land back in your workspace.

Open the task in the centre, then the Fields tab in the right panel. At the top you will find the client-form controls.

  1. Optionally set an access codeType a short code in the Access code (optional) box. If you set one, the client must enter it to open the link — a second factor for sensitive requests.
  2. Click "Send Client Form"CorpSec AI creates a unique tokenised link for this task and copies it to your clipboard automatically. If you set a code, the link is marked 🔐 Protected.
  3. Share the link — and the code separatelySend the link to your client. If you protected it, share the access code by a different channel (phone or SMS), never in the same message as the link.
  4. Answers flow back into the taskWhen the client submits, their details and any uploaded files return to the task, ready for you to use in drafting.
Tip

On a phone, the client’s form supports camera upload — they can photograph a passport or NRIC directly into the form rather than hunting for a file.

Heads up

Treat the access code like a password: sharing it in the same email as the link defeats the point. The in-app hint reminds you to send it by phone or SMS instead.

E-signing — signing tracks

When documents are ready to execute, CorpSec AI groups them into signing tracks — a set of documents plus the recipients who must sign them. Open the Signing tab in the right panel to see every track for the task, with a running “N/N signed” summary at the top.

Track, mark and remindLive

Each track shows its documents, its recipients, and how many have signed. For a track that is still pending you have two actions (write-level roles only):

  • Mark signed — record that a track has been executed (for example, after wet-ink signing or an out-of-band signature).
  • Remind — nudge the outstanding signers. If firm email is configured, CorpSec AI emails the reminder ("Reminder emailed"). If not, it tells you plainly and gives you a Copy sign link button to send yourself.
Note

Each recipient has their own copyable sign link shown under their name while the track is pending. This is the reliable hand-off when outbound email is off — copy the link and send it by whatever channel your client prefers.

Tip

A signing step in a workflow completes only when all its tracks are signed. The summary at the top of the tab is your at-a-glance "are we done?" indicator.

What the signer sees

The signer opens their link on any device and reviews the documents before confirming. The link is tokenised and specific to that recipient, so signatures are attributed correctly and the track’s progress updates as each person signs.

Frequently asked questions

What if my firm hasn’t set up email sending?

Nothing breaks. When you send a client form the link is copied to your clipboard for you to share. When you remind signers, CorpSec AI tells you email is not configured and gives you a "Copy sign link" button. You stay in control of delivery.

Is the access code required?

No — it is optional. If you set one, the client must enter it to open the form, and the link is badged "Protected". Share the code by a separate channel (phone/SMS) from the link.

Can a read-only user send forms or mark documents signed?

No. Sending forms and the Mark signed / Remind actions are limited to write-level roles. Viewers can see status but not act.

How do I know a signing step is complete?

The Signing tab shows a "signed / total" summary. A signing step in the workflow only advances when every track is fully signed.

Can clients upload a photo of their passport?

Yes. The client form supports camera capture on mobile, so they can photograph an ID or document straight into the form.
